1. Overview (Project Background)

Yanolja operates multiple subsidiaries and business divisions, with each organizational unit individually adopting and using various SaaS solutions.
While management was being conducted at the department level, from a company-wide perspective, the SaaS landscape became fragmented, and it was difficult to grasp overall usage status, costs, contract status, and security risks at a glance. This situation persisted.

As a result, the need for SaaS cost optimization and systematic governance was continuously raised, and the company began reviewing the adoption of a solution that could comprehensively manage company-wide SaaS usage.

2. Challenge (Problem Definition)

The main challenges Yanolja faced before project initiation are as follows.

  • Lack of SaaS Usage Visibility
With different departments managing SaaS, it was difficult to comprehensively understand overall SaaS usage, active users, and contract status.

  • Limitations in Cost Optimization
Licenses were being maintained regardless of actual usage, but it was difficult to quantitatively verify this.

  • Difficulty in Security Risk Management
It was difficult to systematically identify potential security risks such as long-term unused accounts and accounts of former employees.

  • Operational Inefficiency Due to Manual Management
Management required excessive time as staff had to log into each SaaS individually to verify information.

3. Solution (Resolution Approach)

Yanolja integrated its company-wide SaaS management system by adopting MegazoneCloud's proprietary SaaS management solution, Space SaaS Ops.

  • Building an Integrated SaaS Management Platform
Configured to view key metrics such as usage, contract status, user activity, and last login date on a single screen.

  • API-Based SaaS Integration
Integrated over 30 SaaS applications, including major platforms such as Slack and Atlassian.

  • Establishing Cross-Departmental Collaborative Operating System
Built a joint management system centered on the IT Infrastructure team and Procurement team, with SaaS managers from each department participating.

  • Phased Expansion Based on Practitioner Feedback
Through PoC, hidden costs and security risks were made visible, and the scope of integration was gradually expanded.

4. Result (Achievements)

Through the adoption of Space SaaS Ops, Yanolja has achieved the following results.

  • Approximately 15% Reduction in SaaS Costs
Achieved tangible cost savings through identification of unused and underutilized licenses.

  • Improved Operational Efficiency
Moved away from individual SaaS management approaches to single-screen-based management, significantly reducing manual management time.

  • Established Proactive Security and Contract Risk Management System
Manages unused accounts and contract expiration dates as key indicators, enabling proactive risk response.

  • Improved Internal Satisfaction
Confirmed high satisfaction among practitioners regarding improved management convenience and among managers regarding cost and security visibility.

Yanolja is positively evaluating the possibility of integrating AI SaaS usage (such as token consumption) into unified management in the future, and also considering expansion beyond SaaS to cloud infrastructure management.
